Document Storage

ASU departments may send document storage to Surplus Property for temporary storage and secure destruction. More detailed information on the types of documents stored and the length of time for storage can be found in Property Control System 703.

When sending boxes to Document Storage as Surplus Property, please follow these guidelines:

  1. All records must be inactive.

  2. Only use storage boxes from SunRISE, Staples, Item number 33250.

  3. Complete the online Document Storage transmittal form for each box of records.

  4. Fill the box snugly, but do not overfill it. Leave about 1 1/2 inches of space in the box to facilitate servicing; leave more space if large amounts of later interfiling are foreseen.

  5. For each box being sent to storage, complete the following: Department Name, Box No, Content or Records Series Title (including date range), Destruction Date, and Contact Name and phone number. Once the online form has been completed, ASU Surplus Property will be notified of the pickup request.

  6. Mark the outside of the box with the same information listed above. Number the boxes sequentially for each shipment to Surplus Property.

  7. The retention period mandated by the General Retention Schedules commences after the most recent year of records stored in each box. If records in a box extend from 2005-2007 and the retention period is five years, records must be destroyed in 2013.

  8. There must be an assigned destruction date for the records. The destruction date is set at the expiration of the retention period.

Document Storage Request

To sign up for ASU's Shredding Service, fill out a request form. Materials Management delivers a free, lockable storage bin and collects the bin on a schedule or on demand.
