Surplus Property

ASU Surplus Property is relocating and the retail store is closed. 

Arizona State University Surplus Property sells excess university property to the general public through the Surplus store and monthly auctions. Visit the FAQ page for more information.


Monthly auctions - on hold until further notice:

  • Auctions are held on the second Thursday of each month.

  • Bidding takes place in person only.

  • You must be a registered bidder to bid. Please register at the Surplus Store or online.

  • Preview auction lots online and in person from noon to 4 p.m. the day prior to the auction. Join our mailing list to receive reminders.

Document Storage

ASU departments may send document storage to Surplus Property for temporary storage and secure destruction. More detailed information on the types of documents stored and the length of time for storage can be found in Property Control System 703.

When sending boxes to Document Storage as Surplus Property, please follow these guidelines:

  1. All records must be inactive.

  2. Complete the online Document Storage transmittal form for each box of records.

  3. Fill the box snugly, but do not overfill it. Leave about 1 1/2 inches of space in the box to facilitate servicing; leave more space if large amounts of later interfiling are foreseen.

  4. For each box being sent to storage, complete the following: Department Name, Box No, Content or Records Series Title (including date range), Destruction Date. Once the online form has been completed, ASU Surplus Property will be notified of the pickup request.

  5. Mark the outside of the box with the department name, the records series title as it appears on the General Retention Schedules and the mandated destruction date. Number the boxes sequentially for each shipment to Surplus Property.

  6. The retention period mandated by the General Retention Schedules commences after the most recent year of records stored in each box. If records in a box extend from 2005-2007 and the retention period is five years, records must be destroyed in 2013.

  7. There must be an assigned destruction date for the records. The destruction date is set at the expiration of the retention period.


Document Storage Request


To sign up for ASU's Shredding Service, fill out a request form. Materials Management delivers a free, lockable storage bin and collects the bin on a schedule or on demand.


Send to Surplus

Excess university property sent to Surplus Property is disposed through re-use by other university departments, recycling or sale to the general public. To send items to Surplus Property, complete a Disposal Request online:

  • It is not necessary to create a new request for each item on a Disposal Request

  • Place each ASU Property Control tag on its own line

  • Your department must authorize all Disposal Requests; the approver must mark the Authorized checkbox on the form


Access Surplus



ASU Surplus Exchange and Transfer  is a university-wide “classified ad” system for exchanging ASU property with other ASU departments. Through SunSET, ASU departments can reuse:

  • electronics
  • office and lab supplies,
  • furniture
  • other unneeded items

Departments are free to negotiate, transfer and purchase these items. Requests for specific items are also accepted.

ASU departmental shopping:

University departments may view and request items from Surplus Property. Most items are free to ASU departments, but delivery fees may apply for larger items. University departments may shop during store hours or schedule an appointment. Please register or update your department profile online before shopping to expedite transfers.
