Reply Mail

Consult with ASU Mail Services whenever you plan to use a Business Reply or Courtesy Reply envelope. Mail Services will design the proper format and provide a PDF for printing to avoid any possible delays in mail delivery or increased postage costs.

Business Reply Mail (BRM): Pre-addressed envelope, the department pays postage

  • Allows ASU departments to receive mail from customers without the customer paying for the postage
  • Department pays for the postage costs
  • Pre-pay the postage for clients or customers to increase response rates
  • Ideal for fundraising efforts, research surveys and questionnaires, and other communication projects
  • The envelope must conform to a specific format to qualify as BRM, including a unique ZIP+4 code and postal barcodes assigned by the U.S. Postal Service
  • All Business Reply Mail must be approved by ASU Mail Services before printing
  • Courtesy Reply Mail (CRM): Pre-addressed envelope, the customer pays postage

Consists of pre-addressed postcards or envelopes provided by the mailer to customers

  • Expedites responses and provides more accurate delivery
  • Differs from Business Reply Mail (BRM) in that the respondent is responsible for purchasing and applying the correct postage before mailing the card or envelope back to the department
  • CRM may be returned more quickly because it is prepared with the correct address and barcode to take advantage of automated USPS processing
  • Practical to use when the department wishes to have replies (payments) sent to an address that is different from the department’s regular mailing address
