The goods, equipment and supplies category list ASU-preferred vendors for classroom, club and office necessities. This includes rated scientific chemicals and materials, audiovisual systems, office and technical supplies and printing and copying equipment. ASU also uses services for water deliveries and printing promotional products.

Audiovisual

To service the university's need for contractors that can plan, design, install and maintain the audiovisual, presentation and related equipment and projects, RFP #302101 Multimedia Equipment and Services Contractors was issued.

The following suppliers received recognition for such equipment and services:

  • CCS Presentation Systems.
  • Ford-Audio Video Systems, LLC.
  • Level 3 Audio Visual.
  • Presentation Products Inc. dba Spinitar.
  • Southern California Sound Image.
  • Technology Providers, Inc.

This summary of the seven contracted suppliers provides contact information, pricing and discounts for equipment and services. Your unit can obtain quotes from these seven firms without conducting a formal solicitation. 

All quotes must include information at the line-item level regarding the catalog-list price, ASU's discount rate as a percentage and ASU's quoted price. The contracts are available for use through March 24, 2026.

Office supplies

Employees can purchase office supplies through Staples in SunRISE.

Email Materials Management or call 480-965-3772 with any office supplies questions.

Copier paper

Order all standard copier paper for use in ASU’s copy machines and printers from the Materials Management catalog within Workday. There are two types of paper available:

  • 30% recycled 8.5" x 11" 92 brightness.
  • 100% recycled 8.5" x 11" 92 brightness.

Returns

Returns and exchanges must be made within 30 days and the same fiscal year of the purchase. To schedule a return or exchange, contact Materials Management or call 480-965-3772. Once you return your item, you will receive a credit to your account within 1–2 business days.

Specialty stationary

The Materials Management catalog within Workday provides the following specialty items:

  • Customizable ASU name tags.
  • Exam and survey sheets.
  • Large and small intercampus envelopes.
  • Large envelopes.
  • Testing supplies.

Items will be delivered the next business day if ordered by 3 p.m., excluding ASU holidays and Materials Management inventory days.

Staples

Access the Staples catalog via SunRISE to order office supplies and toner.

There is a $25 minimum order on all Staples orders to increase processing efficiency and reduce the environmental impact.

Returns

Process all returns through SunRISE. Promotional items Including T-shirts and polo contract

ASU's licensing agent, Collegiate Licensing Company, connects the university to various manufacturers on its website.

You can purchase a shirt, water bottle or other items from an approved vendor. Imprinting the item with the ASU logo or wordmark, including the ASU Pitchfork, requires a licensed vendor to be used.

Trademark infringement is illegal. ASU owns the rights to any mark, nickname, letter or word associated with Arizona State University, including any graphic representation relating to the following:

  • Arizona State University.
  • Arizona State.
  • ASU.
  • Sparky.
  • Sun Devils.
  • The Official University Seal, etc. 

Manufacturers are legally bound to obtain a license to produce items containing ASU's logos and trademarks.

All the ASU Licensees found in SunMart have met the requirements for obtaining a license. These requirements include their ability to meet graphic standards and compliance with ethical and socially responsible business practices, including environmental stewardship and the Fair Labor Association Code of Conduct. The following awarded Licensed Apparel University-Wide contractors can provide you with quotes, samples, artwork, availability and delivery of water-based ink T-Shirts and polo-styled embroidered shirt apparel:

ASU-Canon Strategic Alliance Partnership

ASU's strategic alliance with Canon enables students, faculty and staff to meet print and copy needs.

Scientific supplies

Scientific Supplies are available through ASU's SunRISE program, over the counter at the Chemistry Stockroom or through ASU Gas Services. If you need access to purchase from SunRISE, please complete a ServiceNow ticket requesting the appropriate department role. Purchases under $5,000 can be made with a P-Card. Compressed gases and radioactive materials cannot be purchased using a P-Card. You can use Workday to pay for purchases over $5,000.

Scientific or laboratory capital equipment

To purchase scientific or laboratory capital equipment, you must provide detailed specifications and contact an ASU buyer in this area for assistance. For equipment purchases of $50,000 or more, a formal invitation to bid is prepared and issued to the vendor community. ASU evaluates responses quantitatively, and the item will be purchased from the vendor with the lowest bid.

For customized items or items that specifications cannot define, the department should prepare a scope of work, evaluation criteria and a description of the project's intent. A proposal request is prepared and issued to the vendor community. We evaluate the responses qualitatively, without looking at the price as the primary determinant.

Occasionally, a product or service is so specific or unique that only one source qualifies as a provider. Sole-source purchases require written justification by the requesting department and subsequent approval from the appropriate professor, researcher, principal investigator, department chair or director. Scientific equipment may be tax-exempt if used solely for research and development purposes. This policy applies to capital equipment and fabricated components to build a more extensive system. The tax exemption is applicable for capital and fabricated purchases in the hard sciences.

Compressed gases, liquid nitrogen, dry ice or radioactive material

Per ASU policy, you must purchase all compressed gases through ASU Gas Services. Delivery of compressed gases is available on all ASU campuses. Dry ice is available with key access 24/7 in the Physical Science G wing, room 106. Liquid nitrogen is available 24/7 through an automated dispensing system.

  • For liquid nitrogen, use the Gas Service tab within SunRISE to request dewar refills, access cards and LN2 supplies.
  • To order compressed gases, sign in to SunRISE and click on the Gas Service tab.
  • To access dry ice at PSG 106, you will need the following information:
    • Account number.
    • Department name.
    • Department professor's name.
    • Name of individual completing the log.
    • Quantity of ice used per lab.

Radioactive materials can be purchased through SunRISE or Advantage with a Purchase Requisition or RX. Purchasing will forward the request to the Office of Radiation Safety for approval if an RX is needed. Once approved, the buyer enters a PC document and places the order. You will receive a confirmation number via email with shipping and delivery dates. Deliveries of radioactive materials come to the ORS located in the D-Wing, room 109. Per the radiation safety manual, the ORS staff surveys the materials for radiation levels and surface contamination upon receipt. A notification will be sent to the responsible user when materials arrive. Radioactive material is delivered to users by ORS staff.

The Chemistry stockroom is in Physical Sciences, G-Wing, PSG 106, on the Tempe campus.
