Business and Finance Support Services

BFSS is crucial in supporting the Business and Finance, the CFO and the university’s operations by providing essential services. These services encompass various departments, including the Business and Finance Communications Group, Business and Finance IT, and the Organizational Performance Office. Each of these units serves distinct functions to ensure the smooth and efficient operation of the university’s business and financial processes.

Business and Finance Communications Group

The BF Comm Group manages internal and external communications related to ASU’s Business and Finance division. Their services include:

  • Brand Management: Ensure all communications align with ASU’s brand and messaging standards, including graphics, photography, print and writing.
  • Content Creation and Management: Produce and manage content for various platforms, including brochures, digital channels, reports, social media and websites.
  • Crisis Communication: Provide timely and effective communication in response to crises or urgent matters affecting the Business and Finance division.
  • Strategic Communication Planning: Develop communication strategies to support the goals and objectives of the Business and Finance division.

Business and Finance IT

BFIT provides specialized information technology support for ASU’s Business and Finance division. Their services include:

  • AI Integrations and Solutions: Develop and implement intelligent systems to automate processes, enhance decision-making, and drive innovation within the Business and Finance division.
  • Data Management and Security: Ensure the integrity, security, and accessibility of financial and business data through robust data management practices and cybersecurity measures.
  • Help Desk and Technical Support: Offer technical assistance to staff within the Business and Finance division, resolving issues related to hardware, network connectivity and software issues.
  • IT Project Management: Lead and support IT projects that enhance business processes and improve operational efficiency.
  • System Management and Support: Maintain and support IT systems and applications critical to the university’s financial operations, such as budgeting tools, financial management systems and other business applications.

Organizational Performance Office

OPO focuses on enhancing the efficiency and effectiveness of the Business and Finance division by implementing strategies to optimize processes and improve performance. Their services include:

  • Change Management: Support the division in managing change by facilitating communication, training, and engagement activities to ensure smooth transitions.
  • Continuous Improvement Programs: Implement continuous improvement methodologies such as Lean and Six Sigma to drive operational excellence.
  • Performance Measurement and Reporting: Develop key performance indicators (KPIs) and metrics to measure the success of various initiatives and provide insights into areas for improvement.
  • Process Improvement: Analyze and redesign business processes to increase efficiency, reduce costs, and improve service quality.

Records Management

Records Management within the Business and Finance division oversees the systematic control, organization, and maintenance of records throughout their lifecycle. Records Management aims to ensure that records are appropriately created, maintained, and disposed of in compliance with university policies, legal requirements, and best practices. They provide a range of services, including:

  • Document Storage and Retrieval: Manage physical and electronic records storage solutions, ensuring that records are securely stored and easily accessible when needed.
  • Records Retention and Compliance: Develop and maintain records retention schedules that align with state and federal regulations and ASU policies.
  • Records Disposition: Oversee the secure and compliant destruction of records that have reached the end of their retention period.
  • Risk Management and Security: Ensure that records management practices align with ASU’s data security policies and procedures.
  • Support for Digital Transformation: Transition from paper-based records to electronic records management systems (ERMS).
