ASU will launch Workday HCM in January 2025

Workday will be the university's new cloud-based, mobile-first human capital management system. The new system provides employees with a centralized way to access their professional data and complete work-related tasks.

Why ASU is switching to Workday

Employees currently use several individual systems to complete work tasks and conduct university business — Career EDGE, Kenexa BrassRing, PeopleSoft, etc. This creates an inefficient and time-consuming way for Sun Devils to work. Some of these existing systems are also outdated and cannot accommodate the university's growth.

Used by more than 400 higher education institutions, Workday is a centralized source with modern features that will help employees do things like:

  • Access paystubs and payroll information. 
  • Change and review benefits.
  • Enter time off.
  • Manage their employee profile. 
  • Onboard and hire new employees.

ASU will have a single integrated system once it moves its human capital management processes to Workday HCM, as it already uses Workday FMS as its financial management system.

Estimated project timeline

The Human Capital Management Workday Innovation Implementation team will develop Workday HCM in the following phases: 

Time frame Description
May 2023–Apr 2024 Design system processes and integrations.
May–Oct 2024 Begin system testing and verify data accuracy.
Nov–Dec 2024 Provide training to Sun Devils and confirm the system is ready to launch.
January 2025 Launch Workday HCM 

 

The project includes the following goals and objectives:

  • Build organizational and cultural readiness.
  • Consolidate and standardize the usage of auxiliary or third-party applications.
  • Design and implement streamlined business processes and leverage process automation and workflow to improve the employee experience through transformed human resource processes to ensure transactional accuracy and efficiency.
  • Design a scalable system that will continue to meet the university’s needs during growth periods.
  • Expand and simplify management access to detailed information with real-time access to business intelligence, reporting and analytics for enhanced decision-making.
  • Implement up-to-date best practices that allow for tracking of all applicable federal, state, local and international compliance regulations and guidelines.
