Central Receiving and Distribution

Starting March 18, 2024, Materials Management will provide central processing and delivery for all packages shipped to the Downtown Phoenix campus. Materials Management currently provides central receiving and distribution services for packages shipped to the Tempe and Polytechnic campus.

Please follow the instructions below when ordering and receiving packages based on your home campus.

Tempe campus

All Tempe campus business-related small package deliveries from Amazon, FedEx, UPS and other carriers will need to be delivered to Central Receiving for distribution by Materials Management to campus delivery centers as indicated on the shipping labels. The delivery center code will coincide with current mail code locations for simplification.

The process to choose a ShipTo Address and Building/Room# when creating requisitions in FMS Workday is changing to support the new receiving and delivery process.   

When submitting a change order against a PO that contains a small package, update the Ship-To Address to ALMDBR and update the inactive Building/Room No to the new DC+mail code value. Please email SunRISE if you are unable to submit a change order. 

Note: This new process does not affect chemical-related requisitions.

Requisition process

Departments must do the following when creating requisitions in Workday for small package deliveries to the Tempe campus:

  1. Select the Tempe Central Receiving address as the Ship-To address. For accurate results, search using the building abbreviation code ALMDBR:

  1. Enter their department’s delivery center code — DC + delivery code — in the Building/Room No field. For example: DC3608_ALMDB.
  2. Submit the requisition for processing. Central Receiving staff will then deliver the packages to the delivery code, as indicated on the address label.

Services 

When a supplier will be on-site at an ASU location to provide the service, enter a note in the Memo to Suppliers field providing the address where the service will be performed. Example: All services to be performed at the following location:

When placing orders using an ASU Purchasing Card for delivery to the Tempe campus, purchasers must address their shipment as follows:

  • Name.
  • Department name and delivery code.
  • Arizona State University.

Note: Larger palletized items may continue to be shipped to pre-approved campus loading docks. If the Ship-To Address for your loading dock remains available in FMS after Jan. 18, 2022, it has been pre-approved for larger palletized deliveries.

For new delivery center codes, submit a Delivery Code Request form.

Downtown Phoenix campus

All Downtown Phoenix campus business-related small package deliveries from Amazon, FedEx, UPS and other carriers will need to be delivered to Central Receiving for distribution by Materials Management to campus delivery centers as indicated on the shipping labels. For simplification, the delivery center code will coincide with current mail code locations.

Note: Larger palletized items may continue to be shipped to pre-approved campus locations. If the Ship-To Address for your loading dock remains available in FMS after Feb. 26, 2024, it has been pre-approved for larger palletized deliveries.  If the address doesn't appear, please email Materials Management for instructions using the alternative address format.  This will need to be pre-approved before the requisition process.

For new delivery center codes, submit a Delivery Code Request form.

Polytechnic campus

All Polytechnic campus business-related small package deliveries from Amazon, FedEx, UPS and other carriers will need to be delivered to Central Receiving for distribution by Materials Management to campus delivery centers as indicated on the shipping labels. For simplification, the delivery code will coincide with current mail code locations.

Large palletized shipments or oversized items may continue to be shipped to pre-approved campus loading docks.

With moving to the centralized receiving model, all previous requisition Building/Room No field values for Polytechnic have been removed, and new delivery center values have been added.

Requisition process

When placing orders in FMS Workday for delivery to the Polytechnic campus, departments will need to:

  • Select the Polytechnic Central Receiving address as the Default Ship-To Address on the requisition: 7004-9 E Union Ave, Mesa AZ 85212. To ensure correct address selection, search using the Building Abbreviation Code of RECVG and select the address that exactly matches this:

  • Enter the delivery center (departmental mail) code in the accounting worktag Building/Room
    No field.
    • Delivery Center codes will begin with DC followed by the Delivery code and building abbreviation. Example: DC5080_ADMIN.
    • Submit a Delivery Code Request form for new delivery codes.

West Valley campuses

Amazon, FedEx, UPS and other small package carriers will deliver parcels directly to your campus location. You must provide suppliers with an exact ASU shipping address and specify the following details:

  • Name.
  • Department.
  • Arizona State University.
  • Street address.
  • Room or suite number.
  • City, state and ZIP code.
  • Delivery code.

Please include your department delivery code in the address to expedite U.S. Postal Service delivery.

Expedited shipping FedEx

Federal Express is the university’s shipping vendor for all overnight, two-day and three-day shipping. You may use your department’s FedEx account number for any university-related expedited shipment. FedEx will happily come directly to your department to pick up your outgoing items on your account number.

Incoming freight

ASU Shipping and Distribution Services will accept authorized freight shipments addressed to Arizona State University. The freight bill or manifest will be checked for an accurate delivery address, contact information, carton count and condition of the shipment. These freight deliveries will then be scheduled for delivery to your campus location. Please contact 480-965-1083 or Materials Management with questions about incoming deliveries.

International shipping

There are times when you may need to ship or receive international items. When shipping international packages, you will need the following:

  • Detailed manifest — list — of each container in the shipment, including a description of each item and its value.
  • The person shipping the package(s) must sign this detailed manifest.

International shipments may require the assistance of the Customs Broker who is assigned to work with ASU. While most of the arrangements for this broker will be handled by ASU Procurement, there may be times when you may need to contact the broker directly. The ASU Customs Broker can be reached at:

Please track your incoming parcel at the following locations:

If your tracked package shows that it has been delivered, please contact the following departments for additional information:

  • Receiving: UPS, FedEx, DHL, Freight — Call 480-965-1083 or email.
  • Mail Services: USPS — Call 480-965-9818 or email.

Information that would be helpful to assist us in locating your package includes the following:

  • Tracking number.
  • Carrier.
  • Location of sender.
  • Date shipped or date expected or date received.
  • Name/Address of Recipient.
  • Name of the person who signed for the package.

ASU Receiving is here to help you ship parcels anywhere domestically or internationally. For any shipments that contain hazardous materials, please contact Environmental Health and Safety for assistance.
