Department Mail
Arizona State University Mail Services sorts and delivers all U.S. Postal Service and intercampus mail Monday through Friday to over 450 departments from 8:30 a.m.–noon.
Addressing mail to ASU
Each ASU campus uses a specialized address format, including a campus-specific mail code, to ensure efficient and accurate delivery.
Use the ASU directory to find a faculty or staff member.
Mail delivered from off-campus to an on-campus department via the U.S. Postal Service should follow these appropriate formats:

Outgoing mail
Outgoing mail is collected from each department Monday through Friday during the morning and is guaranteed to be mailed the same day.
For mail sent out through U.S. Postal Service:
- All outgoing USPS mail requires a new envelope barcode *CCXXXX001* printed on the front or back of the envelope for billing purposes. This new envelope barcode is required on all outgoing postal mail. Use the barcode link to create your new envelope code.
- All outgoing mail should be banded together with the address side of the mail facing the same direction.
- Campus departments may order barcode labels if the department’s envelopes do not have preprinted barcodes.
- If the mailing is too large to use a rubber band, place the mail in either a mailing tub or tray facing the same direction. Tubs and trays can be ordered on our website.
- One barcode label may be placed on the top of each rubber-banded bundle for large mailings.
- Mail Services will seal envelopes under the following conditions:
- No charge for 9 ½” x 4 ¼”, No. 10 envelopes. Ensure the flaps of each envelope are face-up.
- Depending on the envelope size, Mail Services can also seal some invitation-type envelopes. Contact Mail Services with the envelope size.
- A processing fee may be applied for sealing larger envelopes.
For mail sent via campus mail:
- Campus mail consists of ASU interoffice campus envelopes.
- Large intercampus mailings of 100 pieces or more of identical items should be banded by the department and placed in route order.
- To send boxes through campus mail, please create a courier request.
Outgoing mail may be dropped off for processing at these locations.

Polytechnic campus
Outgoing mail can be dropped off at Central Receiving, 7041 Unity Drive, until 1:00 p.m. for same-day processing.
West Valley campus
Outgoing mail can be dropped off at Central Services Complex until 12:30 p.m. for same-day processing.
International mail
Customs forms
Postal customs forms are required for international mail, including packages and heavy, large letters. Letters, cards and flats, such as lightweight large letters, do not require a customs form. Mail with APO/FPO/DPO destinations also requires a Customs Declaration Form.
Access and print the online Customs Declaration Form. Complete the form using the following instructions:
- Complete the Sender and Recipient fields — include the sender’s phone number.
- Enter the weight of the package — estimate the weight if unknown.
- Enter the value of the package — a dollar amount must be entered.
- Select the service required. Most very lightweight packages are First Class International, while heavier packages are Priority Mail.
- Review the form.
- Print, sign and date one copy for packages less than 4 pounds and three copies for any package over four pounds.
- Insert the customs form in the plastic sleeve and leave the package with your outgoing mail for processing at Mail Services.
International Addresses
International mail can be sent only through first-class, Priority Mail or Express Mail. International addresses should be formatted as follows:

Country — no abbreviations
The country cannot be entered in the same field as the city, state or postal code.
The U.S. Postal Service requires the entire international address to be written or typed in capital letters, with the bottom line of the address showing only the country name, written in full, without abbreviations. Example:

All international mail must contain a complete return address with full names printed.
Overseas military addresses must contain the APO or FPO designation along with a two-character state abbreviation of AE, AP or AA and the ZIP code. For example:

ASU students should refer to their My ASU account for their personal ASU address information while enrolled. Any questions about student mail should be directed to University Housing or The UPS Store.
ASU Mail Services does not receive, process or deliver student mail.
